How rent PDCs work in the UAE
Most UAE tenancies are paid with post-dated cheques. At signing, the tenant hands over a set of cheques covering the year: one for each instalment, often with a separate security deposit. In Dubai, the tenancy contract is also registered with Ejari. From then on, the landlord or property manager holds the cheques and deposits each one when it falls due.
The work isn't printing. It's keeping track of them: hundreds of cheques across buildings, tenants, banks and dates.
A process that works
- Check every cheque on receipt. Confirm the payee name matches yours exactly, the amount in words matches the figures, each date matches the payment schedule, and every cheque is signed. Fixing a problem at signing takes minutes; fixing it on deposit day takes weeks.
- Record each cheque against its lease. Log the cheque number, bank, date, amount, tenant, unit and lease. A cheque in a drawer without a record is a cheque that will be missed.
- Store them securely. Keep cheques due for deposit in one place, organised by due date, and security cheques separately.
- Deposit on the due date. Review what's due each week, deposit each cheque on or after its date, and mark it deposited.
- Track clearing. Mark each cheque cleared or returned when the bank confirms, so your rent roll reflects real money.
- Act fast on returns. Record the bank's return reason, contact the tenant, agree a replacement or payment, and link the replacement to the original cheque.
- Close out at the end of the lease. Return the security deposit cheque and any unused cheques, and mark them returned.
Returned cheques
When a rent cheque is returned unpaid, speed matters. Contact the tenant the same day with the cheque details and the bank's return reason. Since January 2022, the holder of a cheque that can't be paid in full can ask the bank for a partial payment from what's in the account, and pursue the balance. Whatever you agree, record the replacement against the original cheque, so the lease history stays complete.
Why spreadsheets break down
A spreadsheet works for a handful of units. As the portfolio grows, cheques get retyped by hand, dates get mistyped, and nobody is sure whether a returned cheque was ever replaced. The data lives in one person's file instead of the systems your leasing and finance teams use.
How ChequeEazy Enterprise handles it
ChequeEazy Enterprise is built for UAE real estate:
- Scan the whole bundle. Ai reads the payee, amount, date, bank and cheque number from every cheque a tenant hands over.
- Check against the lease. Mismatch alerts flag wrong payee names, amounts in words that don't match figures, missing signatures, and dates that don't match the schedule.
- A PDC schedule per lease. Every cheque is linked to its tenant, unit and building, with reminders before each due date.
- Returns and replacements. Record the return reason, chase the tenant, and link the replacement to the original.
- Connected to your CRM. Cheque status and images are written back to Salesforce, Dynamics 365 or your own system.
For smaller portfolios, ChequeEazy Desktop Ultimate logs received cheques and sends PDC reminders before they fall due.
